This isn’t a call center or an order-taking reservations desk.

Our coordinators look at each travel request as a whole: the itinerary, the airport, the connection and the traveler. They recommend the right service, prepare the quote, coordinate with our partners around the world, and see the request through to confirmation.

Our clients include travel advisors, production and publicity teams, entertainment professionals, high-net-worth individuals, executives, and luxury leisure travelers. They come to us because their plans are important, complex or time-sensitive, and they count on us to be responsive, accurate and personal.

The role

What you’ll do

You’ll own each client request from first inquiry to confirmed booking, and hand it off cleanly when a shift ends.

Advise clients

  • Respond promptly and professionally to client emails and calls
  • Review itineraries, airports, connections and special circumstances
  • Recommend the right service and prepare clear, accurate quotes
  • Follow up on open quotes, inquiries and new leads

Coordinate worldwide

  • Check availability and submit bookings with partners around the world
  • Verify every vendor confirmation against the original request
  • Manage flight changes, disruptions and last-minute requests
  • Keep clients informed of confirmations and changes

Keep it flawless

  • Maintain accurate records, notes and documentation across several systems
  • Monitor upcoming bookings for missing details or needed follow-up
  • Provide clear shift handoffs and team coverage when needed
  • Protect confidential traveler and client information
Who we’re looking for

You’ve served clients who expect the very best

This role is a natural fit for experienced travel, airline, aviation, hospitality or luxury-service professionals who want meaningful part-time work that puts their industry knowledge to use.

What you bring

  • At least one year serving luxury, premium, VIP or other high-touch clientele
  • Excellent spoken and written English, with polished email and phone skills
  • Exceptional attention to detail, organization and follow-through
  • The ability to juggle multiple active requests and priorities
  • Strong computer and data-entry skills; quick to learn new systems
  • Good judgment, and calm, courteous problem-solving under pressure
  • Independence, paired with clear communication with your team
  • Discretion with confidential information

Backgrounds we love

Experience in any of these settings will stand out, as will comfort reading itineraries, flight schedules, PNRs and airport information.

Mandarin Chinese as a second language is highly preferred.

Because the role involves confidential client, vendor and pricing information, active travel-advisor or travel-agency work may create a conflict of interest and would need to be discontinued or otherwise resolved before employment. Former travel advisors are warmly encouraged to apply.

Travel never stops, and neither do we

Our clients fly around the world at all hours, so this role requires real scheduling flexibility. Days and hours vary week to week based on operational needs, and may include:

If you need the same fixed days and hours every week, this position may not be the right fit. Reliability and honoring scheduled shifts are essential.
